Buy, build, or integrate: choosing the right approach

Every operational problem can be solved three ways: buy a product, connect tools you already pay for, or build something specific. The cheapest option depends less on the problem than on how unusual your process is.
Buy when the process is standard
Accounting, payroll, email marketing, helpdesk. These are solved problems with mature products and no competitive advantage in doing them differently. Building here is almost always a mistake.
Integrate when the tools are right but disconnected
Often the software is fine and the problem is copying data between systems. A well-scoped integration costs a fraction of a new platform and removes the actual pain.
Build when the process is yours
If the way you work is genuinely unusual, or if it is the thing customers value, off-the-shelf software will force compromises that cost more over time than a focused custom build. Start with the smallest version that replaces the spreadsheet.
